ChARM Health for Zoho CRM

The ChARM Health for Zoho CRM integration is designed to synchronize patient information between ChARM Health and Zoho CRM. With this integration, the patient data can be accessed anytime from either of the two applications, and keep the data always synced between the applications. Also, a new patient record can be created in ChARM Health from Zoho CRM by converting existing contacts to patients.

Installing the extension

  1. Navigate to  > Marketplace > All.
  2. Click All Extensions, then browse for and click ChARM Health for Zoho CRM.
  3. Click Install Now.
  4. Agree to the Terms of Service, and click Continue.

  5. In Choose Users/Profiles, select one of the following options:
    1. Install for admins only
    2. Install for all users
    3. Choose profiles
      If you select the Choose profiles option, select all the profiles you want to install the extension for, and click Confirm.
      The extension will be installed for the selected users.
  6. Click Sign Up if you do not have a ChARM Health account. A new page will open. Enter the required details, and click Sign Up.

  7. Click Authorize if you already have a ChARM Health account.
  8. Click Accept, and enter the ChARM account credentials.
  9. Enter the API Key for your ChARM Health account.
  10. Click Finish.
Note: To obtain a ChARM API Key, login as a Practice Administrator in your ChARM Health account and navigate to  > Account > API Keys section. Create a new API key by entering the developer name as "Zoho CRM".

Setting up multi-select lookup in Zoho CRM

Once installed, you must enable the 'interlinking different modules' feature in Zoho CRM. This allows a module to fetch data from another module and reflect it within Zoho CRM.

Only then, you can synchronize contacts with multiple facilities in ChARM Health to the Zoho CRM contacts module.

To set up multi-select lookup:
  1. Navigate to  > Customization > Modules and Fields.
  2. Click Contacts in the modules list.
  3. Under Layouts, click the desired layout.
  4. Drag and drop the Multi-Select Lookup option into the Contact Information layout.

  5. The Field Label should be Facilities.
  6. In Select Related Module, choose Facilities.
  7. The Field Label in Related Module should be Contacts.
  8. Check Allow creating relationship-specific modules.
  9. Enter Contacts X Facilities as the Linking Module Name.
  10. Click Done.

Now you are ready to sync contacts between ChARM Health and Zoho CRM.

Setting up synchronization

Once the extension is installed, a web tab called ChARM Health will be added in your CRM account. Using this web tab, you can customize your sync settings any time in Zoho CRM to synchronize your contacts between ChARM Health from Zoho CRM.
Note: When you sync contacts from Zoho CRM to ChARM Health, these fields are required: First Name, Last Name, Sex, DOB, and Facilities.
To create sync settings:
  1. Click the ChARM Health web tab from the listed modules.
  2. On the ChARM Health Settings page, click Settings.
  3. In Sync Type, select One Way or Two Way.
    1. One Way - brings ChARM Health contacts into your Zoho CRM modules, or vice versa.
    2. Two Way - moves CRM data into ChARM Health, and ChARM Health data into CRM simultaneously.
  4. In Sync Behaviour, select ChARM Health to Zoho CRM or Zoho CRM to ChARM Health (only for One Way sync).
    If you choose ChARM Health to Zoho CRM, you need to specify the conflict behaviour.

  5. In Conflict Behaviour, select one of the following.
    1. CRM Always Wins - Data from ChARM Health will not override the CRM data in the corresponding fields.
    2. ChARM Health Always Wins - Data from ChARM Health will override the CRM data in the corresponding fields.
  6. If you are scheduling a sync, choose Yes.
    The sync will happen for every 10 minutes by default.
  7. Click Save.

Synchronizing data

To synchronize contacts between ChARM Health from Zoho CRM:
  1. Click the ChARM Health web tab.
  2. In the ChARM Health Settings page, click Sync.
  3. Click Sync Now.

If you need to change the sync settings, follow the steps in Setting up synchronization and sync your data.

Adding new patients to ChARM Health

You can add a new patient record to ChARM Health from within the Zoho CRM. This can be done by converting the existing contacts in Zoho CRM to patients in ChARM Health.

To convert a contact/lead:
  1. Go to the Contacts section.
  2. Tap to open the desired contact from the records list.
  3. Make sure all the mandatory fields have values (First name, Last name, Sex, Date of birth, and Facilities)
  4. Click Convert to Patient button on the top-right corner.

The record gets added to ChARM Health with a success message pop-up on the screen.
          

Uninstalling the extension

In order to uninstall the extension, you must remove the Facilities added while installing the extension. Only then, the Zoho CRM will allow you to uninstall the extension.

To remove Facilities:
  1. Navigate to  > Customization > Modules and Fields.
  2. Click Contacts in the modules list.
  3. Under Fields, select Facilities.
  4. Select Remove Field, and click Yes.
    The Facilities field will be moved to unused fields.
  5. Tap to open Unused fields.
  6. Tap Delete, and click Yes.
    The Facilities field will be removed. 
To uninstall the extension:
  1. Go to  > Marketplace > All.
    All the installed extensions are listed.
  2. Under All Extensions, you can view all the installed extensions.
  3. Browse for ChARM Health, and click the corresponding Uninstall link.
  4. Click Ok to confirm and uninstall the extension.
