Zoho CRM for Gmail & Inbox

Chrome Extension for Gmail enables you to communicate with your Zoho CRM account right inside your Gmail account. You can add new leads or contacts to your CRM Account and also add notes to your records from within Gmail.

Installing the Extension

To download and install the Chrome Extension do the following:

  1. Open your Chrome browser and click here.
    Alternatively, you can search "Zoho CRM for Gmail & Inbox" in Chrome Web Store.
  2. Click Add to Chrome to add the Chrome Extension to your Gmail account.
    If you are not already signed in to your Gmail account, you will be prompted to log in.

Authenticating the Extension

Note
  • Before you begin authentication ensure that you are signed in to your  Chrome People* account. For unrestricted authentication, your Chrome people account and Gmail account must have the same profile or user details.
    (*) Chrome People: Chrome People allows you to share chrome with multiple profiles on a single device. Each user can create their own settings, bookmarks, themes and extensions; that can be kept separate by using chrome profiles.
    To establish this set up follow the steps below:
    1. Open your Chrome browser and go to People on the top panel of the browser.
    2. Select the User Profile from the list of names. New chrome window will open.
    3. Log in to the Gmail account in this new browser.
      The Chrome People profile can be viewed at the browser's top panel.

Once your logged in to Chrome People account and Gmail account you can begin the authentication process. Note that, only after the Google account is succesfully authenticated, you will be prompted for the next step of Zoho authentication.

To authenticate the Chrome extension do the following:

  1. In your Gmail tab/window, click Authenticate Google on the Zoho CRM for Gmail panel.
  2. Click Accept to grant permission to Zoho CRM for Gmail. This will let you access your account.
  3. In the next step, click Authenticate Zoho on the extension panel.
    You will be prompted to Sign into your Zoho account.
  4. Enter the login details of your Zoho Account and click Accept to authenticate Zoho to access data.

Understanding the Extension

Once the extension is installed, you can use it to add leads and contacts to your Zoho CRM from your Gmail account.

Additionally, the Chrome extension's Menu provides you options to view and access the deals, campaigns and accounts available in your Zoho CRM account.

In the Extension Menu you have the following options:

  • Home - Home page is where you can add leads or contacts either by entering the data or directly from an email.
  • All Deals - View all the deals created or added in your CRM account.
  • All Campaigns - View all the Campaigns assigned to the contacts using your CRM account.
  • All Accounts - View all the accounts created or present in your CRM account.
  • Settings - Allows you to associate other emails with your primary Gmail account.

Create Leads or Contacts from Gmail & Inbox

This extension enables you to create leads and contacts directly from your Gmail, which gets synced with your CRM account. There are three ways by which you can do so. 

A) To create lead or contact from an email

  1. Choose any email from your Gmail inbox.
    If the user is not already a lead or contact in your CRM, you can fill the details under Add Lead or Contact form which will be synced to your CRM acount by the extension.
  2. Fill out the missing details for the lead/contact.
  3. Click Add Lead or Add Contact.
    The data will be populated automatically inside the Zoho CRM account.

B) To create a lead or contact from the Chrome Extension's Menu

  1. Click Home > Create a New Lead/Contact.
  2. Fill in the lead/contact details in the form.
  3. Click Add Lead or Add Contact.
    The data will be populated automatically inside the Zoho CRM account.

C) To create lead or contact from the email contact

  1. Choose any email in your Gmail inbox.
  2. Hover over the contact email address.
  3. In the Pop-up click Search in Zoho CRM.
    If the user is not already added to your CRM account, you will be prompted to add the lead or contact.
  4. Fill out the lead or contact details in the form.
  5. Click Add Lead or Add Contact.
    The data will be populated automatically inside the Zoho CRM account.

View Leads or Contacts Details from Gmail & Inbox

Details like primary information (email, organisation, contact number), activities (tasks, calls, events) and campaigns can be viewed in your Gmail account. To view lead or contact details -

  1. Click on an email in your Gmail account.
    If the contact in the email is added as a lead or contact to your Zoho CRM account, the details will be available in the Extension.
  2. In the extension you can view the following details:
    • Info - View the Primary Info.
    • Activities - View Tasks, Events and Calls. Open and closed activities can be viewed using filter.
    • Deals - This tab will be available only if it is a contact. 
    • Campaigns - View the campaigns assigned through your Zoho CRM account, you also edit the campaign details.

Associate Multiple Emails from Gmail & Inbox

The extension allows you to link your primary Gmail account with multiple Gmail or G-suite accounts. By enabling this you will be able to add data to your Zoho CRM account even from those Gmail accounts for which the chrome extension is not enabled.

To associate email accounts do the following:

  1. Go to Menu and click Settings > Click the down arrow.
  2. Enter the email address.
  3. Click Link Email.
    To visit the associated email accounts, open the Gmail or G-suite accounts in the same chrome browser; the extension will automatically get installed.

Add Details from Gmail & Inbox

Once the leads and contacts are added, there might be several information associated with them that need to be updated. Extension addresses this by allowing you to add notes or activities like tasks, calls and events directly from Gmail. For instance, you receive an email from a lead requesting to schedule a meeting, you can add an event right away from the extension using the Add Event option.

To add details from the extension do the following:

  1. Click on an email in your Gmail account.
    If the contact in the email is added as a lead or contact to your Zoho CRM account, the details will be available in the extension.
  2. In the extension you can add the following details:
    • Notes - Add notes.
    • Activities - Add activities like Tasks, Events and Calls
    • Deals - This tab will be available only if it is a contact. Here you can view or create deals.

Convert Leads from Gmail & Inbox

Once the lead is qualified in to a potential customer convert them to contacts directly using the extension. The accounts and contacts will be synced with your Zoho CRM account.

To convert leads from the extension, do the following:

  1. Click on an email in your Gmail account.
    If the contact in the email is added as a lead to your Zoho CRM account, the details will be available in the Extension.
  2. Click the More options icon and then click Convert.

  • To uninstall Zoho CRM Extension do the following:
    • Right clickon the Zoho CRM icon on the top right corner of your address bar. ()
