Introduction
Zoho One's unified UI has some exciting features, one of which is the Unified Calendar. Calendar, which can be found at the bottom of the left navigation menu of the new version, makes scheduling appointments easier by collating information from different Zoho apps and making it available in one place.
Calendar is an efficient workplace tool that helps you keep track of scheduled meetings and calls, and upcoming holidays and leaves. It helps you create events as well as sync calendar events from different sources.
Calendar provides a unified space to access appointments and meetings from Google Calendar and other Zoho apps. Zoho CRM, Zoho Recruit, Zoho Task, Zoho Contacts, Zoho Lens, and Zoho Meeting calendars can be synced with the Unified Calendar. Although you cannot sync calendars from Zoho Projects, you can subscribe to it and view them on your Calendar instead.
How to sync calendars
To sync a Zoho app calendar with the Unified Calendar:
- Sign in to Zoho One, then click Calendar in the left navigation menu.
- Click , then click Zoho Apps.
- Select the app whose calendar you want to sync.
Note: If you want to sync either the Recruit Calendar or the CRM Calendar, make sure that your account is verified and the Events module is enabled.
Features
Zoho CRM
The Unified Calendar provides you with an option to
sync the CRM Calendar with itself. Once synced, the CRM Calendar will be visible under
APP CALENDARS when you open Calendar.
The main features of the calendar sync are as follows:
- Only organization admins can initiate the calendar sync. Once initiated, users can sync their data if needed.
- Every time a CRM event is added or edited in the Unified Calendar, the changes will be updated in the CRM Calendar upon refreshing it. All updates that are made in the CRM Calendar will also be simultaneously updated in the Unified Calendar.
The calendar sync does come with a few limitations, as listed below:
- Meetings cannot be scheduled in the Unified Calendar. It can be done through a separate plug-in option in the CRM Calendar.
- Calls that are scheduled in the CRM Calendar will not be synced to the Unified Calendar.
- Reminders will not be synced to avoid duplicate notifications from both calendars.
Zoho Recruit
The Unified Calendar provides you with an option to
sync the Recruit Calendar with itself. Once synced, the Recruit Calendar will be visible under
APP CALENDARS when you open Calendar.
The main features of the calendar sync are as follows:
- Any user can initiate the sync.
- If any events are added, edited, or deleted in the Unified Calendar, the changes will be reflected in the Recruit Calendar.
However, as mentioned previously, reminders will not be synced to avoid duplicate notifications from both calendars.
Zoho Task
Zoho Mail Suite comes with Zoho Task that helps you create and assign tasks to your colleagues and teammates. The Unified Calendar provides you with an option to
sync the Task Calendar with itself. Once synced, the Task Calendar will be visible under
APP CALENDARS when you open Calendar.
Tasks can be created as either personal tasks or group tasks. However, once the Task Calendar is synced with the Unified Calendar, only the personal tasks will get synced. Group tasks will not be reflected in the Unified Calendar.
The Unified Calendar provides you with an option to sync the Contacts Calendar with itself. Once synced, the Contacts Calendar will be visible under APP CALENDARS when you open Calendar.
The Contacts Calendar is a read-only calendar. It is split into two sections, one for personal use and one for professional use. If it is synced with the Unified Calendar, only the birthdays from the personal calendar will get synced.
Zoho Lens
When an organization is created in Zoho Lens, a calendar for it will be created in the Unified Calendar as well. The organization admins can view events from all the users' calendars, whereas users can view only their own events.
Data will be automatically updated in the Unified Calendar when one does the following in Zoho Lens:
- Create a department.
- Add members to a department.
- Remove members from a department.
- Delete a department.
If a user has subscribed to a specific department calendar, they have the option to unsubscribe from it through the Unified Calendar.
Zoho Meeting
The Unified Calendar provides you with an option to sync the Meeting Calendar with itself. Once synced, the Meeting Calendar will be visible under APP CALENDARS when you open Calendar.
The main features of the calendar sync are as follows:
- When a meeting is created in the Unified Calendar, it will be reflected in the Meeting Calendar as well. The event can be edited or deleted from both calendars.
- When a meeting is created in the Meeting Calendar, an invitation mail will be sent to the organizer. If the organizer is a user of Zoho Mail, then it will get reflected in the Unified Calendar as an invited event.
- Meetings that are created in other Zoho apps can also be reflected in both calendars.
- If the meeting is created in an integrated service like Zoho CRM and the invitation is sent by CRM to the organizer, then the meeting will be added to the Meeting Calendar but not to the Unified Calendar, unless the CRM Calendar and Unified Calendar are synced together.
- If the meeting is created in an integrated service like Zoho CRM and the invitation is sent by Zoho Mail to the organizer, then the meeting will be added to both the Meeting Calendar and Unified Calendar.
Zoho Projects
Unlike the above-mentioned apps, you can only s
ubscribe to the Projects Calendar, after which all the events will be displayed in the Unified Calendar and updated every 12 hours automatically. The events in the Projects Calendar can't be edited from the Unified Calendar.
Google
The Unified Calendar supports calendar
sync with Google Calendar, a third-party application. Once synced, the Google Calendar will be visible under
APP CALENDARS when you open Calendar.
When a user creates, updates, or deletes an event in the Google Calendar, the same will be reflected in the Unified Calendar, and vice versa.
