How to automatically assign Leads to different users?
You can assign leads to different users automatically by configuring Assignment rules . However, you can apply assignment rules only for those leads that are generated through import, webforms, and API.
Note : Assignment rule does not apply to the records that are added manually to the CRM account.
Benefits of deploying assignment rules
Configuring assignment rules,
- Minimizes the waiting period: Once the assignment rule is configured, the incoming records that match the conditions mentioned in the rule instantly get assigned to the appropriate record owner. This reduces the waiting period between record creation and ownership assignment.
- Facilitates condition-based assignments : You can automate assignment of records based on record conditions like lead status, country, industry, etc., that suit your business requirements.
- Allows to choose the user type : You can assign records to specific users, roles, or groups. Alternatively, you can choose to assign records to users matching certain conditions.
- Provides AI-driven assignment suggestions: If you select Zia suggested user, Zia will predict the record management and ownership patterns from the past and assign new records to users who match the pattern.
- Manages assignment based on user availability : You can assign records to users who are available based on the Shift timing and Online status to prevent delays or backlog.
- Facilitates operational productivity: You can create and associate tasks while assigning records so that the record owner can stay informed about the actions that needs to be performed as soon as a record is assigned to them.
To set up assignment rules
- Go to Setup > Automation > Assignment Rules.
- Click the +Create Assignment rule button.
- In the Create Assignment rule page, choose the Leads module from the drop-down list and provide a rule name.
Click Next .
- In apply this rule to ,
- Select All Records , if you want to automate all incoming leads.
- Select Records matching certain conditions , if you want to automate only those leads that match the conditions. Add the condition(s) and specify the criteria pattern.
- In Assign record to,
- Select the option Category , to choose Users, Roles, or Groups from the drop-down list.
- Select Users matching certain conditions , to choose users based on specific condition(s).
- In Would you like to check user availability before assigning? check Online status or Shift timing.
- In Follow-up Taks, click + Add task.
- Click Save Rule Entry .
You can create multiple rule entries in one assignment rule based on your requirement. The record will be assigned to the users based on all the rule entries that are specified.
