Customizing Home Tab

The Home tab of Zoho CRM is a quick indicator of the progress of all your CRM activities. It contains components from different modules such as Tasks, Potentials, Dashboards and so on. One quick glance at the components of the Home tab will tell you how your sales activities are faring.

Besides indicating the progress of your CRM activities, the Home tab also serves as a great place to organize your day's work, as well as your teams'. This is possible by means of the three types of "Views" in the Home tab of Zoho CRM.


Classic View

The Classic View lists 3 standard components: Tasks List View, Today's Events and Pipeline by Stage. With the critical components organized by default, this view helps you plan your day better. The Classic View is unique to a CRM user and shows the respective user's Tasks, Events and Pipeline. This view cannot be customized.

User's Home Page

Individual users can customize the Home tab for their own account in User's Home Page. You can add components that you wish to look in the User's Home. These components can be resized and moved around to fit well on the page. 

When a new user signs-up in their CRM account the personal Home tab displays a set of system-defined dashboard components:
  1. KPIs: My Open Deals, My Leads, My Untouched Deals, My Today's Calls. 
  2. Custom views: My Deals Closing this Month, My Open Tasks, Today's Leads, and My Meetings.
  3. Funnel: My Pipeline Deals by Stage.
These components provide users with relevant ideas about the most commonly used business analytics. They can delete them if they don't want to use however this cannot be undone.  They can create new components as per their requirements in their personal dashboard.
For existing users' the home page will not be changed as the addition of new components can disturb the existing customizations made by the user.

Manager's Home Page

Admins often wear multiple hats as they have various responsibilities - discussions with stakeholders, meeting customers, monitoring team progress and business performance, addressing customer issues, maintaining sales progress, etc.  Their daily activities revolve around a variety of data that is stored in different modules. How tedious can it be to move back and forth between the data to find crucial information everyday? To ease this Zoho CRM provides a custom home page called Manager's Home 

The Manager's Home view, provides a bird's-eye view of the happenings of sales containing data on leads, revenue, deals, etc. This view is listed under the Classical View dropdown and it will be only available based on role hierarchy. The Admins, and all users except the users in the lower-level roles (i.e users who do not have any sub roles) will have access to the Manager's Home. For example, in an organization consisting of the CEO, Manager, Admin and Employees, except the lower-level role Employees everyone will have access.



The list of components that will be displayed by default are:
  1. Deals created This month
  2. Revenue this month
  3. Deals Closing This Month
  4. Overdue Activities 
  5. Last 4 Quarter Performance 
  6. Leads By Source This Month
  7. Anomaly In Leads Created This Quarter 
  8.  Pipeline By Stage  
  9. Anomaly In Deals Closure Amount This Quarter 
  10.  Top 10 Open Deals This Month  
  11. Top 10 Closed Deals This Month 
  12. Big Deals Lost This Month 
  13. Pipeline By Reps This Quarter 
  14. Top 20 Accounts By Revenue This Year
  15. Top 10 Reps By Revenue This Quarter 
  16. Top 10 Reps By Activity This Quarter 
You can further customize this view based on your requirement. You can add components that you want to view specially or delete the components that won't fit your business needs from this default list.

Note: 
  1. Among the Classic view, User's Home, and Manager's view, the last accessed page will be set as the default home page. However, if custom home page is shared with a user, then their default view will always be the custom home page.

Customized Home Page

You can also create and share a common view across roles based on what you want them to view. Using the Customized Home Page, you can add components you wish them to look at when they log into CRM. Once Customized Home page is created for a particular role, the users associated with that role will have it as their default page each time they log in to Zoho CRM.

Switch between the home Pages

By default, the Customized Home page is displayed for all users based on their roles. If Customized Home page is not created or activated for a role, the Classic view or the User's Home page is displayed based on the user's prior selection. Under the Home tab, you can switch to different Views from the drop-down list on the top right corner.

To switch to other views

  1. In the Home tab, click the drop-down at the top right corner.
  2. Select the desired view from the list that you want to switch to.

Create Customized Home Page

You can customize the Home page for users based on what you want them to look at once they log into Zoho CRM. You can share this Home page with multiple roles and this will become their default home page, each time they log in to Zoho CRM. They can switch to other views when required.

Users with Customize Zoho CRM permission can customize Home page.


To create Customized Home Page

  1. Go to Setup > Customization > Customize Home Page.
    Alternatively, you can also go to the Home Tab, click the drop-down on the top right corner and select Customize Home Page.
  2. Click  New Home Page.


  3. Click Dashboard.
  4. Choose a  Dashboard from the drop-down list and select components that you want to add in the Home page.


  5. Click Custom Views.
  6. Choose a  Module from the drop-down list and select components to add custom view components.


  7. Resize or move the components around to organize the page once all the required components are added.
  8. Click Save & Share.
  9. In the  Edit Properties window, do the following:


    • Specify a name for the customized home page.
    • Choose the roles of the users with which you want to share this page.
    • Add a description.
    • Click Save.

Note
  1. Make sure that the customized home page thus created is activated for them to reflect in the home page of the associated users. Turn-on/off the status icon of the respective customized home page to activate/de-activate.
  2. To delete, customize further or edit the properties of a customized home page, hover over the respective customized home page from the list and click on the three dots. You can select and execute the required action from the pop-up.

Add Components in User's Home Page

In the User's Home Page, you can add components of your choice. Each component will list data from various others modules like the Leads, Potentials, Dashboards etc.

To add components

  1. In the Home tab, go to the User's Home from the drop-down on the top right corner.
  2. Click More > Add Component.
  3. In the  Add Component pop-up window do the following:
    • In the  Get from field, choose from
      • Dashboard
      • Custom View
      • Widgets
      Dashboards
      • Select the Dashboard from which you wish to add the component and enter the Component Name and click Save.



        The selected dashboard is added as a Component in your Home tab.

      Custom View
      • Select the module and the required custom view and enter the Component Name and click Save.



        The selected custom view is added as a Component in your Home tab. Only 10 records are listed per page. You can proceed to further pages using the Navigation arrows.


      Widgets
      • In Get from field choose Widgets and click Next.
      • You can add a widget from the list or click +Create New Widget to create a new widget.
      • In  create a new widget page do the following.
        • Enter the Name, Description and choose the preferred hosting type from the drop down list.
        • To host internally
          • Select Zoho from the hosting drop down list.
          • Upload the file of your application.
          • Provide the index page URL for your application and click Save.
        • To host externally
          • Choose External from the hosting drop down list.
          • Provide the Base URL for your application and click Save.

Note
  1. In the Classic View, you cannot customize the components. The number of records per page can be selected by the user.
  2. Based on the Zoho CRM Edition, users can select the records per page.
  3. You can associate multiple roles with a single Customized Home Page but you can not share multiple home pages to a single role.
  4. Each role can have only one Customized Home page. While selecting roles to be associated, if you do not find a role, then that role might already have an active/inactive Home page.

Customize Manager's Home

To customize Manager's Home page:
1. In your Zoho CRM account, go to Setup. Under  Customization, click Customize Home Page.
2. In Managers Home option click   icon and click Customize.
3. To add a new component, choose them from the Dashboard and Custom View dropdowns.
Dashboard: Choose a Dashboard from the drop-down list and select the components that you want to add to the Home page.


Custom View: Choose a Module from the drop-down list and select components to add custom view components.

4. Once done, resize or move the components to organize the page.
5. To delete a component, click the  icon next to component and click Delete.

View Recent Items

Once you log into Zoho CRM, on the bottom right corner of the page, click the Recent Items icon.



This displays upto 20 recent activities that were added/modified in CRM. You can click on any record to go to the record's details page.

Check Reminders

  1. Log in to your Zoho CRM account, click the Reminder icon at the bottom right corner.

  2. This displays the activity reminders in CRM. Scroll through the reminders to view more. Click on a reminder to see its details or Dismiss it from the list.


Note
  1. Recent Items, Reminders and Feedback icons are present across Zoho CRM on the footer irrespective of the module selected and not just on the Home tab.

Customize Column Headings in Components

In the Customizable view, the components that you add in the Home tab can be list views or data in the form of pipelines, pie charts or bar graphs, etc. For the List View components you can easily add, delete and reorder the columns. You need to make the changes for the list view and the same will be applied to the related components in the Home tab also.

To customize column headings

  1. Click the [Module] tab. (For eg. Leads, Contacts, Accounts, etc.)
  2. In the [Module] Home page, select the list view that you want to edit.
  3. Click the Edit link.
  4. In the Edit View page, select and move the fields to the Available Columns list box.

    After selecting the columns you can change the order of the columns or remove unnecessary columns from the Selected Columns list box.
  5. Click Save.

    The changes will be applied to the related components in the Home tab.
