Create and manage tags

Tags are labels that let you categorize records in a module based on certain characteristics. For ex: if you want to categorize contacts based on their relationship with your business, you can use tags like 'customers', 'prospects', 'vendors', etc.
Furthermore, you can differentiate the records by assigning each tag a color from the predefined set as you create them. For example, if you have tags like Hot, Warm, Cold in the Contacts module then you can assign colors like red for Hot, Yellow for warm and Blue for cold prospects to differentiate them visually. 

Availability
  1. Available in all paid editions.
  2. Users with Tags permission enabled in their Profile can create new tags in an org, rename or delete them.

  3. Users without the Tags permission can only associate/disassociate existing tags to a record.

Adding tags   

You can add tags to records in the following ways:
  1. Tag a specific record.
  2. Tag records in bulk.
  3. Tag records during import. 

To add tags to a specific record

  1. Go to the desired module and open the record.
  2. Select the record to which you would like to add Tags.
  3. Click the + icon in the Tags section.
  4. In the Add Tags popup, enter the tags that you would like to add to the selected records.
  5. Assign a color to the tag if required.
  6. Click Save.

To add tags in bulk

  1. Select the records from the module's list view to which you would like to add Tags.
  2. Click More > Add Tags.
  3. In the Add Tags popup, enter the tags that you would like to add to the selected records.
  4. Assign a color to the tag if required.
  5. Enable the checkbox(if needed) to overwrite existing tags with the new tags that you have entered.
  6. Click Save.

To add tags during import

You can add tags to the records while importing them. Tags can be added in a separate column in the import file and can be mapped with the Tag field. Or, you can add tags in the last stage of the import process using the Add Tags option. Here, the tags added will be common to all the records in the import file. Associate tags to records created via webform

You can associate existing tags to records created via webform and the chosen tag will be added to all of the records captured from that webform.
  1. Go to Setup > Settings > Webforms.
  2. You will have an option to Add Tags, while creating/editing a webform. Choose Tags based on your requirements and click Save.

Manage Tags  

You can rename a particular tag, change it's color, or delete it permanently from a module from the 'Manage Tags' option inside each module.

To edit a tag in a module

  1. Go to the desired module.
  2. Click More > Manage Tags.
  3. Click the edit icon to edit details like tag name and tag color.

  4. Click Save.

To delete a tag from a module

  1. Go to the desired module.
  2. Click More > Manage Tags.
  3. Click the delete icon if you want to delete the tag.
  4. Click Save.

Removing tags from a record

Removing a tag will only disassociate it from a record and will not delete the tag permanently from the module.
  1. To remove tags for a specific record, go to the desired module and open the record.
  2. In the Tags section, Click the 'x' icon in the tag to remove that tag for the record.
  3. To remove tags in bulk, select the records for which you would like to remove tags.
  4. Click More > Remove Tags.
  5. Select the tags that you would like to remove and click Save.
