Contact management in new Zoho CRM integration model

In the new CRM integration model, we can create one sync for each module, and import all the contacts of that module. This reduces the hassles of creating multiple syncs, and also ensures the data in Zoho CRM and Zoho Campaigns is in complete sync always once the sync is created. 

 Contacts count management 

When Zoho CRM and Zoho Campaigns are synced, all contacts of the selected module will be synced to Zoho Campaigns. This will naturally increase the number of contacts in your Zoho Campaigns account. Consequently, your subscription plan will be auto-upgraded to accommodate the contacts. 

Note: Users under the free plan or the old pricing plan model should upgrade their account manually to complete the sync if their account reaches the contact limit while syncing.  

At a given point of time, you might not be sending emails to all your synced contacts. You can set the Subscription Status as Non-marketing while you create sync between Zoho CRM and Zoho Campaigns. The main advantage of this option is that you can have these contacts in your Campaigns account but do not have to pay for these contacts.

You can change the required contacts' Subscription Status to marketing when you have to send emails to these contacts.

 Organize your contacts 

Once you have created syncs with Zoho CRM for all modules, you need to organize these contacts efficiently based on different criteria as required. Organizing your contacts enables you to send targeted emails to the respective contacts.
 
There are two ways to organize your synced contacts:
  1. Create a segment with the required criteria for the synced contacts.
  2. Create workflows and move the respective contacts to the preferred mailing list.

   Create segments

You can create segments based on a specific criteria to filter the contacts, and store them separately. This is a one-time process and you may have to update the segment every time new contacts are added. 

To create a segment:

  1.  From the Navigation toolbar, choose Contacts and select Segments.
  2. Click Create in the top-right corner, then choose Segment.

  3. In the Create Segments page, provide a name to your segment. This is for your reference to identify and relate to the criteria.
  4. Criteria - Choose the respective criteria by selecting any of the CRM fields. 
You can store these contacts as marketing contacts and send targeted emails to them. 

Create workflows

You can also automate this process and store CRM contacts based on the criteria you set by creating a workflow. The contacts will be segregated as and when they are synced and this is a recurring process. 

If you have not selected a list while configuring the Zoho CRM sync, 

  1. Create a segment with required criteria to separate the synced CRM records.
  2. From the Navigation toolbar, choose Automation and select Workflows.
  3. Click Create Workflow in the top-right corner.

  4. Click Create custom workflow.
  5. Under the Trigger section on the left panel, select the trigger to start your workflow. You can set the trigger as Enter a segment and select the segment you have created in the first step.
  6. Under the Process section, you can set the necessary criteria using a simple condition.
  7. Drag and drop the Subscription Management action component from the left panel under Action -> Productivity section onto the canvas and click Configure.

  8. Choose Add topic subscription for contacts, select the topic, then click Done. Activate the workflow.

If you have synced your Zoho CRM records to a mailing list,

  1. Create a segment with required criteria to separate the synced CRM records.
  2. From the Navigation toolbar, choose Automation and select Workflows.
  3. Click Create Workflow in the top-right corner.

  4. Click Create custom workflow.
  5. Under the Trigger section on the left panel, select the trigger to start your workflow. You can set the trigger as On List Entry and select the segment you have created in the first step.
  6. Under the Process section, you can set the necessary criteria using a simple condition.
  7. Drag and drop the Subscription Management action component from the left panel under Action -> Productivity section onto the canvas and click Configure.
  8. Choose Add topic subscription for contacts, select the topic, then click Done. Activate the workflow.

Using these methods, you can separate marketing contacts from the synced contacts and send targeted emails to them.
